Entry fees & payments

Entry fees go straight to you. We never take a cut.

Artists pay online with PayPal or a card, or by check or cash if you allow it. The money goes directly into your own account. GalleryEntry never holds it, never delays it, and never skims a percentage.

The payment card on an entry: $25 entry fee plus 2 pieces at $5, total $35, paid by check, with a button to record the payment.
  • Paid to your own PayPal

Connect your PayPal Business account with a guided, five-minute setup. Payments land there, not with us.

  • Checks and cash too

Let artists send their entry now and pay by check or cash. Record the payment when it arrives.

  • Every fee your show needs

Entry fee, per-piece fee, member price, category fees and a late fee, added up automatically.

Fees that match how guilds really charge

Set an entry fee, add a fee per piece, give members a lower price, charge some categories differently, and add a late fee for entries after the deadline. Artists see each line before they pay, and the total is fixed on their entry when they send it.

  • Entry fee and per-piece fee
  • Member price (members pay whichever is lower)
  • A different fee for any category
  • Late fee for a window after the deadline
  • Free calls work too, with no payment step at all

What the artist sees: entry fee at the member price of $25, plus one piece at $10, total $35.

Payments matched to entries, automatically

No more matching PayPal emails to entries in a spreadsheet. When an artist pays online, their entry is marked paid and sent. If they abandon the payment, the entry stays a saved draft. Every entry shows its fee, every payment and every refund.

Receipts and refunds handled

Artists get a receipt in their confirmation email and can print it anytime. Refund all or part of a fee from the entry page, through PayPal or recorded by hand, and the artist is emailed. GalleryEntry never lets anyone refund more than was paid.

Questions people ask

Does GalleryEntry take a percentage of entry fees?

No. Entry fees go straight to your PayPal account, and GalleryEntry takes nothing from them. PayPal charges its own standard processing fee, as it would for any payment.

Who holds the money until the show?

You do. Payments go into your organization’s own PayPal account the moment the artist pays. GalleryEntry never holds artist money.

Can artists pay by check?

Yes. Turn on “pay later” for a call and write your own instructions, like where to mail the check. The entry waits as “payment pending” until you record the payment.

Can members pay less?

Yes. Upload your member list and set a member price. Members are recognized by their email address and charged the lower fee automatically.

Do we need a PayPal Business account?

For online payments, yes. It’s free to open. GalleryEntry walks you through connecting it in plain steps. You can also take checks and cash only.
