Terms of Service
Last updated October 13, 2026
These terms are an agreement between you and Grimaldi Labs LLC, the company that runs GalleryEntry. By creating an account or using GalleryEntry, you agree to them. If you don’t agree, please don’t use GalleryEntry.
What GalleryEntry is
GalleryEntry is a website that art organizations (guilds, galleries, art centers, clubs and similar groups) use to run calls for entry, jury the work sent to them, tell artists the results and show the chosen work online. Artists and jurors use it free of charge.
Each call for entry is run by the organization that published it, not by GalleryEntry. The organization sets the rules, fees, deadlines and jurors, and makes the decisions. We provide the software.
Your account
- You must be at least 13 years old to create an account. If you are under 18, a parent or guardian must agree to these terms for you.
- Give us your real name and an email address you can receive mail at, and keep them up to date.
- Keep your password private. You are responsible for what happens in your account. Tell us right away if you think someone else has used it.
- One person per account. Don’t share an account or create one for someone else without their permission.
For organizations
If you create an organization on GalleryEntry, you agree to these terms on its behalf and confirm you’re allowed to do that. The organization is responsible for:
- its calls for entry: the prospectus, rules, fees, deadlines, jurying and decisions, and keeping its promises to artists;
- the entry fees it collects, including refunds. Fees go straight to the organization’s own Stripe or PayPal account or are paid to it by check or cash. GalleryEntry never holds artists’ money;
- the people it adds as admins and jurors, and what they do in GalleryEntry;
- using the information artists send it only to run its shows and related activities, keeping it private, and following the laws that apply to it (including privacy and email laws).
The organization decides what happens to the entries sent to it. We handle that information for the organization, as explained in our Privacy Policy.
Plans and prices for organizations
Organizations can use GalleryEntry free up to the entry limit shown on our pricing page. Larger organizations can agree a custom plan with us. If we change the price of a plan you’re on, we’ll tell the organization’s owners by email at least 30 days before the change applies. We never charge artists or jurors.
Your work stays yours
You keep all rights to the artwork, images, text and files you upload (“your content”). We don’t claim ownership of it and we never sell it.
So that GalleryEntry can work, you give Grimaldi Labs LLC permission to store, copy, resize and display your content, only as needed to run the service for you. In practice that means: keeping it in your account; sending it to the organizations you apply to and the jurors they choose; and, if your work is accepted and the organization publishes an online exhibition, showing it there (if the call asked for your permission to show your work, we follow your answer). This permission ends when you delete your content or your account, except for entries you already sent to an organization, which it keeps for its records.
You confirm that you made the work you upload, or have permission to use it, and that your content doesn’t break anyone else’s rights or the law.
Things you may not do
- Break the law or help someone else break it.
- Upload work you don’t have the right to use, or content that is hateful, harassing, threatening or sexually exploits anyone, including minors.
- Send spam or use GalleryEntry to contact people who haven’t dealt with your organization.
- Pretend to be someone else, or misrepresent your connection to an organization.
- Try to get into accounts, organizations or data you aren’t allowed to see, or get around jurying rules such as blind jurying.
- Upload viruses or harmful code, overload the service, or copy it with automated tools.
- Test or probe the security of GalleryEntry without our written permission. If you find a security problem, please email us.
Payments
Entry fees are paid to the organization: by card through its own Stripe account, through its own PayPal account, or by check or cash. You pay on Stripe’s or PayPal’s own secure page, and their terms and fees apply. We record whether an entry has been paid, but we don’t see or store your card or bank details. Questions about refunds go to the organization that ran the call.
Ending your account
You can stop using GalleryEntry at any time, and you can ask us to delete your account by emailing support@galleryentry.com. We may suspend or close an account or organization that breaks these terms, puts other people at risk or could cause us legal trouble. Where it’s reasonable, we’ll warn you first and give you a chance to download your work. What happens to your information afterwards is explained in the Privacy Policy.
Changes to GalleryEntry
We’re always improving GalleryEntry, so features may change, and we may stop offering some. If we ever close the service, we’ll give at least 60 days’ notice so organizations and artists can download their information.
No guarantees
We work hard to keep GalleryEntry running and your information safe, but we provide it “as is” and “as available”. To the extent the law allows, we make no promises that it will always be available, free of errors or right for your purpose. We don’t guarantee that any work will be accepted, win an award or sell, and we aren’t responsible for an organization’s decisions, shows, refunds or how it treats artists.
Limit on our liability
To the extent the law allows, Grimaldi Labs LLC is not liable for indirect, incidental, special or consequential losses, or for lost profits, lost data or lost opportunities, arising from your use of GalleryEntry. Our total liability for any claim about GalleryEntry is limited to the greater of what you paid us in the 12 months before the claim, or $100. Some places don’t allow these limits, so they may not apply to you.
If someone makes a claim against us because of you
If someone makes a legal claim against Grimaldi Labs LLC because of your content, how you or your organization used GalleryEntry, or your breaking these terms, you agree to cover our reasonable costs and losses from that claim.
Law and disputes
These terms are governed by the laws of the State of Michigan, USA. If we have a disagreement, please email us first; most problems can be solved that way. If we can’t solve it, any court case will be in the state or federal courts located in Michigan, and you and we agree to those courts.
Changes to these terms
We may update these terms. The date at the top always shows the latest version. If a change matters, we’ll email account holders or show a notice in GalleryEntry before it takes effect. If you keep using GalleryEntry after that, the new terms apply.
Everything else
These terms, together with the Privacy Policy, are the whole agreement between you and us about GalleryEntry. If a court finds part of them can’t be enforced, the rest still applies. If we don’t enforce a part right away, we can still enforce it later.
